For band, choir and orchestra directors

One trip for the whole season: a travel app for band and music directors

Seven Saturday competitions, four buses, the same 120 students and the same parents every week. The Trip Binder holds the season as one trip with many travel days — one roster, one set of chaperones, one document folder — and adds the overnight festival trip when it comes.

A season of day trips, set up once

Make the trip multi-date and add each competition as a travel day. The roster, buses, chaperone groups and documents carry across every date. Mark who is not traveling on a given Saturday and they drop out of that day's attendance and bus counts automatically.

Bus count-offs with a best time to beat

Give every rider a count-off number per bus — students, adult travelers and staff in one sequence, ordered the way you like. Run the count-off on your phone, see who did not answer, and send the result to all staff. A clean pass gets a celebration, and the app keeps your fastest time, which turns loading the buses into a game the kids want to win.

Equipment that comes home

List instruments, uniforms and cases, then scan or check items out and back in from the phone. Add a photo so a chaperone knows which case is the bari sax.

Overnight trips: hotels, rooming and curfew checks

For the festival or the spring tour, add hotels and rooms, let families sign up for rooms and buses through the portal, and run room checks at night. Print a luggage tag for every traveler.

Everyone knows where to be

The schedule lives on every phone with pinned locations. Send a meeting point and it opens a map with walking directions. On iPhone, staff can put a live countdown for the current event on everyone's Lock Screen.

Common questions

How much does The Trip Binder cost?
Day trips are free, with unlimited travelers and chaperones. Overnight trips, multi-date trips, hotels and rooming lists need the Pro plan, which is $49.99 a year for the organizer. Chaperones, travelers and families never pay.
Can one trip cover a whole marching band competition season?
Yes. A multi-date trip has one roster, one set of buses and chaperones, and a row for each travel day. You can mark individual students or staff as not traveling on a particular date. Publishing a multi-date trip is part of the Pro plan.
Can parents who travel with the band use it?
Yes. Adults coming along join with the trip code and appear on the roster as adult travelers, without staff access. Chaperones are invited by email and see their group, attendance and the details you have cleared them to see.
Can I reuse last year's trip?
Yes. Duplicating a trip copies the schedule and travel days and shifts the dates, so next season starts from this one.
