How to do a head count on a field trip

Head counts usually go wrong the same way. Three adults count the same bus, get three different numbers, and nobody knows which one is right. The fix is a routine everyone learns before the trip, and one list everyone marks.

Give every rider a number

Number each bus from 1 in an order you choose, and have students say their number as they board. A missing 14 is easier to hear than a missing face. In The Trip Binder, one button numbers a whole bus, and the count-off then steps through the riders in number order, each with their photo.

One list for every chaperone

When each adult keeps their own tally, you end up comparing numbers in a parking lot. Put everyone on the same list instead. Each chaperone marks the students in front of them on their own phone, and the total fills in for everyone within seconds.

  • Mark present only, for speed, or present, tardy and absent when you need a record.
  • Limit a chaperone to their group and they see and mark only their own students.
  • Seat staff on the buses too, so the total matches the people on board.

Count at every stop, not just the bus

Most trips need one list, General attendance, that you clear and reuse at each stop. It can clear itself after a quiet stretch. When a stop deserves its own record, like a museum entrance, make a named checkpoint and the whole trip switches to it.

Tell the staff once

When the count is done, tap Notify staff. Every other staff member gets one message: "All 41 accounted for", or the names of anyone not checked in. Nothing is sent until someone taps it.

Plan for the student who isn't with you

A student who went home with a parent, or is at urgent care with the nurse, should not show up as missing at every stop. Mark them away from the group with a reason. They stay on the list, greyed out, and the counts stop expecting them until someone brings them back.

Count without a signal

Bus garages, stadium concourses and mountain roads are where you count, and where phones lose service. Marks are saved on the phone and sync when the signal returns. Have every chaperone open the trip once on Wi-Fi before you leave.

Practice once

Run a practice count-off in the parking lot before the trip. The app times each pass and shows each bus's best time, which gives the kids something to beat.

Common questions

What is a bus count-off?
Every rider has a number on their bus. The person counting goes through the numbers in order, and anyone who does not answer is checked by name. In The Trip Binder you swipe through the riders one at a time, each with their photo, and the result marks attendance for the whole trip.
Can two chaperones count the same bus?
Yes. The app shows when someone is already counting a bus. If two counts disagree about a student within a few minutes, "here" wins and the other person is asked to check.
Is the head count feature free?
Yes. Attendance and bus count-offs are free on day trips at any roster size, with unlimited chaperones.
