Student medical information on a school trip: what to collect and who sees it

On a trip, you are the person a parent trusts with their child's allergy. The old way was a copy of everything in every chaperone's binder. A better rule: collect only what you need, show it to the adults looking after that student, and delete it when the trip is over.

What to collect

Most of it comes from your permission form. The Trip Binder has six headings. Every one is optional, and a heading only shows when it has something in it:

  • Emergency contacts
  • Allergies
  • Dietary restrictions
  • Medical notes
  • Over-the-counter medicines the family allows
  • Behavioral and other notes

Who should see it

The adults on the trip see it for the students they look after. If you limit a chaperone to one group, they see that group only. Parents see and update their own child's information, and a student can read their own. Nobody else can, and no setting widens that.

  • For a note you don't want the family or the student to read, make a custom roster field and mark it Staff only.
  • When a parent changes something, you get a notification such as "Olivia's allergies were updated".

Have it with you when there is no signal

Once the trip has been opened on Wi-Fi, the phone app shows each student's health information and emergency contacts with no connection. It is stored encrypted on the phone, and signing out removes it.

Delete it when the trip is over

Health information and emergency contacts are deleted 30 days after the trip ends. The trip's organizers get a reminder at least seven days before, in the app and by email. If your school needs a copy, export it first. Health details only go into an export when you switch them on, and that download is recorded.

Common questions

Can chaperones see student medical information?
Yes, for the students they can see, because they are the ones who act in an emergency. A chaperone limited to one group sees only that group's information.
How long is student health information kept?
It is deleted 30 days after the trip ends. Removing a traveler from the trip, or deleting the trip, deletes it too.
Can parents update their child's medical information?
Yes. Parents linked to their child can add and change it themselves, including emergency contacts, and the organizer is notified of each change.
