Who can see what on a trip

What organizers, chaperones, travelers and parents can see, including health information, and how to keep a note for staff only.

Updated Oct 14, 2026

Everything in The Trip Binder is scoped to a trip, and the rules are enforced by the database, not just hidden on screen.

Organizers

The trip owner and co-organizers see everything on the trip: every traveler's details and health information, parent contacts, documents, attendance, rooms and buses, and settings. They can also read direct messages on their trip (but not post in them), and the apps say so wherever a direct message is shown.

Chaperones

Chaperones see the roster, the schedule, attendance, rooms and buses, inventory, staff chat and announcements. They also see each traveler's emergency contacts and health information, because they are the ones who act in an emergency.

To limit a chaperone to their own group, turn on Restrict to group for that group on the Groups page. A chaperone who leads only restricted groups then sees just those travelers, including their health information, across the roster, attendance and buses, and their screens say so.

Parent contact details are visible to organizers only.

Health information

Health information belongs to the trip and usually comes from your permission form. See Health information for the six headings and when it is deleted. The trip staff, the traveler's parents and an adult traveler can all read it. A student traveler can read their own but cannot change it.

Staff members' own health information

Organizers and chaperones can add their own emergency contact, allergies, dietary restrictions and medical notes under My profile. The owners and co-organizers of the trips they help run can see it, so they can help if something happens on a trip. Other chaperones, travelers and parents cannot. It stays with the person's account rather than a trip, and it is deleted when they delete their account.

Notes only staff should read

Families can read their child's health information, the general notes on the record, and every custom roster field. If you want to keep a note for the staff only, create a custom field and mark it Staff only under Edit trip › Custom roster fields, or when you create it during a roster import. The import screen and the custom field list say "Families can see this" or "Staff only" beside every field.

Travelers

Students and adult travelers see the schedule, announcements, trip chat (posting in Everyone only if you allow it), their own room and roommates, their bus, and their own record in My profile. They never see other travelers' records, the full rooming list or the bag list. They can always reach the staff through Ask the staff.

Parents and guardians

Parents are not trip members. They see and update their own child's record, including emergency contacts and health information, and, for each published trip their child is on, a read-only trip page with the schedule, announcements you share with families, documents shared with everyone, key contacts and the photo album. They do not see trip chat or other families' records.

If someone sees too much or too little, check their role on Staff & permissions and whether their group is restricted. See also Privacy and data handling.
