Chaperone groups

Split the trip into groups led by a chaperone, assign travelers, and optionally limit a chaperone to their own group.

Updated Oct 14, 2026

Groups put travelers with the adult who supervises them. Open Groups from the trip menu on the website or from Trip tools in the app. Only organizers (the owner and co-organizers) can create and change groups; chaperones can view them.

Create a group

  1. Open Groups and choose Create first group (or New group on the phone).
  2. Give it a name, such as "Group A" or "Bus 1 — Ms. Lee's group".
  3. Pick the Chaperone who leads it. A chaperone has to be on the trip first; invite them from Staff & permissions.
  4. Add travelers. On the website, open the group and click a student to add or remove them. On the phone, tap Add students.

One group per traveler

Each traveler belongs to at most one group. Adding someone to a new group moves them out of their old one. Travelers who are in no group are listed as Unassigned. If your roster spreadsheet has a group column, the import puts travelers into groups for you (see Import and manage the roster).

Restrict to group

Turn on Restrict to group and that group's chaperone sees and marks only their own travelers: on the roster, in attendance, in the count-off, on the bus lists and in documents. A few things to know:

  • It has no effect if the chaperone also leads a group that is not restricted.
  • It never limits organizers or co-organizers.
  • The chaperone sees a note saying the organizer limited them to their group.

What groups are used for

  • Attendance: filter the list by group. See Take attendance.
  • Health information: a chaperone sees the health information of the travelers they can see, so a restricted chaperone sees only their group's. See Who can see what.

Rename or delete

Rename a group or change its chaperone from the group itself. Delete group removes the group only. Its travelers stay on the trip and become unassigned.
