Trip documents and family files

Upload trip files and links, choose who can see each one, and how parents add signed permission slips and other forms.

Updated Oct 14, 2026

There are two kinds of files in The Trip Binder: trip documents, which belong to the whole trip, and family documents, which a parent adds for one child.

Trip documents

Open the trip and go to Documents. Use it for itineraries, hotel and flight confirmations, tickets, insurance, permission slip blanks, packing lists and emergency sheets.

  • Website: use Upload a document to add a file, or Add a link for something that lives elsewhere, like a shared folder.
  • Phone: tap the add button and choose Choose a file (PDF), Take a photo, Choose a photo or Add a link.

Files can be PDFs or photos (JPG, PNG, WebP or HEIC), up to 25 MB each. Give each one a title and a Type, such as Receipt, Tickets or Permission slip.

Who can see it

Every document has a Who can see it setting:

  • Owner only: just the trip owner.
  • Organizers: the owner and co-organizers.
  • Staff: organizers and chaperones.
  • Everyone: staff, travelers and families.

Parents only see documents set to Everyone, on their child's trip page. To change a setting later, edit the document.

The owner and co-organizers can add, edit and delete any document. In the phone app, chaperones can add documents too, and can edit or delete the ones they added.

Opening files with no signal

In the phone app, tap the download button next to a file to keep it on the phone. It then opens with no connection, which is handy for boarding passes and insurance cards. For trip staff, smaller files are also saved automatically on Wi-Fi in the week before the trip. Saved copies are removed a week after the trip comes home. On Android, PDFs cannot yet be opened offline inside the app. See Working offline.

Family documents

Parents add files for their own child from the child's page under Documents: signed permission slips and other files. Each child has room for 100 MB. Health details are not uploaded as files; they go in the child's health information.

Trip staff see these on the traveler's page under Family documents. A chaperone restricted to one group sees the files of that group's travelers. See Who can see what.

Storage and how long files are kept

Each free trip has 100 MB of document storage; a Pro trip has 500 MB. Trip photos have their own allowance and do not count. Trip documents are kept for 90 days after the trip comes home on the free plan, and for a year with Pro, and the trip owner gets an email before they are removed. Family documents belong to the child, not the trip, so they are not removed with it. See Usage limits.

To remove a file, open its menu and choose delete. It is gone for everyone.
