Usage limits: AI drafts, photos, storage, emails and file retention

What the free plan and Pro allow for AI drafts, photos, documents, signup emails and file retention, and what has no limit at all.

Updated Oct 14, 2026

What has no limit

On every plan: the number of trips you run, the number of students on a roster, and the number of chaperones.

AI schedule drafts

  • Every account gets 2 free drafts, once. They do not reset monthly.
  • With Pro, each trip gets 50 drafts.
  • A draft is used each time you send a file to be read, even if nothing useful comes back.

If you run out, add events by hand. See AI features.

Photo album

  • Free: 300 photos per trip.
  • Pro: no set limit.

Trip documents

  • Free: 100 MB of documents per trip.
  • Pro: 500 MB per trip.

This counts files uploaded to the trip's Documents. When a trip is full, uploads stop with a message saying the limit was reached.

Room and bus signup emails

On the free plan, a trip can send room and bus signup emails to up to 500 recipients. Pro trips have no trip limit. Invitations and other trip emails do not count toward it.

Keeping files after a trip

A trip is marked completed automatically 14 days after its return date. Its uploaded documents and cover image are then removed:

  • Free: 90 days after the return date.
  • Pro: 1 year after the return date.

Rosters, attendance and student records are not part of this clean-up.

Before files are removed, the trip owner gets an email 30 days and 7 days ahead. On the website, the trip's home page also shows a notice with Download documents and Keep files longer. To keep files longer, start Pro; the longer window applies straight away.

Trip Pass

A trip covered by an old Trip Pass keeps the Pro allowances above for that trip, permanently. The pass is no longer sold.

See Plans and pricing for everything else each plan includes.
