Who The Trip Binder is for

Organizers, co-organizers, chaperones, travelers and parents: what each person sees and does in The Trip Binder.

Updated Oct 14, 2026

The Trip Binder is built for school and group travel: field trips, band and choir tours, sports travel, and class trips abroad. It keeps the roster, schedule, attendance, buses, rooms, messages and documents in one place, on the website and on the phone.

Each person on a trip has a role, and the role decides what they see.

Organizer (trip owner)

Usually a teacher, director or coach. The organizer creates the trip, imports the roster, invites staff, builds the schedule, sets up buses, groups and rooms. Only the owner can delete a trip. Anyone can create a trip — there is no special account type for it.

Co-organizer

A second teacher or trip lead with nearly the same powers as the owner: editing the trip, managing the roster and staff, approving requests, and seeing every traveler's details.

Chaperone

An adult helping on the trip. Chaperones see the roster, take attendance, run bus count-offs, check rooms and bags, and use chat. Chaperones see every traveler's emergency contacts and health information, and an organizer can limit a chaperone to the travelers in their own group. See Who can see what. Chaperones never pay.

Traveler

The students, and any adults traveling with the group. Travelers join with the trip code the organizer gives them, then see the schedule, announcements, chat, their bus and room, and their own profile. Every traveler can message the trip staff through Ask the staff, even when other chat is turned off. Adult travelers can edit their own details; students send changes for the organizer to approve.

Parent or guardian

Parents link to their child, either with the trip code (choosing I'm a parent or guardian) or from an invite the organizer sends. They see a read-only page for each of their child's trips: the schedule, announcements shared with families, documents shared with everyone, key contacts and photos. They also choose rooms and buses when the organizer opens signups, answer the organizer's questions, and keep their child's details up to date. See Parent and traveler access.

The account type you picked at sign-up

When you signed up you chose Teacher or staff, Parent or guardian or Traveler. That only decides where you start. A parent can also run a trip, and a teacher can also be a parent. What you can do on each trip comes from your role on that trip.
