Invite a parent or guardian to the app

Email a parent a link from the traveler's page so they can see the trip, and what happens when they open it with a different email address.

Updated Oct 14, 2026

There are two ways to connect a parent or guardian to a traveler. You can email them an invitation, described here. Or they can link themselves with the trip code and their child's details and, unless the roster already has their email, wait for your approval (see Trip code or personal code). Both end in the same place: the parent sees their child under Family.

Invitations are sent from the website. The phone shows a traveler's parent contacts and linked accounts, but not the invite button.

Send an invitation

  1. Open the trip, go to Roster and open the traveler.
  2. Scroll to Parents & guardians. Contacts imported with your roster are listed here. Use Add contact to add one.
  3. On a contact with an email address, choose Invite to the app. Use Copy link if you would rather text it yourself.

The screen tells you how the parent will connect:

  • If the traveler has a date of birth on file, the parent signs in with the invited address and confirms the child's date of birth.
  • If there is no date of birth on file, the parent connects by opening the link while signed in with the invited address. The date they enter is saved to the record.

The link keeps working through the day after the trip ends, and for at least 30 days. To send a fresh link, choose Invite again on the same contact.

Who is linked

Under Linked accounts you see each parent who has connected (Linked) and any invite still waiting (Invite pending). Each parent needs their own invite or their own request. Two parents can both be linked to one child, and each has independent access.

If the parent uses a different email address

The link only connects the address it was sent to. If the parent opens it while signed in with another address, the page warns them and offers to continue. Continuing sends a confirmation email to the invited address with Yes, allow and No, don't allow. You can also decide yourself: the request appears under Parents waiting to link on Roster › Invite travelers and in Requests. Nothing is shared until one of you approves.

What parents see once linked

The parent sees their child's record and every published trip their child is on: schedule, announcements you share with families, documents shared with everyone, the photo album, and room and bus choices if you turn them on. They never see other families' records. See Guardian and traveler access.

The link is to the child's record, not to one trip. When you add the same child to a later trip in your organization, the parent sees that trip too.
