Trip staff are chaperones and co-organizers. You invite them by email from Staff & permissions. Students and adult travelers are not invited here; they join with the trip code (see Trip code or personal code).
Send invites
- Open the trip and go to Staff & permissions (on the phone it is in Trip tools).
- Under Invite chaperones & co-organizers, type one or more email addresses. You can paste a whole list at once; each address gets its own link.
- Add a note if you like. It goes in the email under your name.
- Pick Chaperone or Co-organizer, then tap Send invite.
The link keeps working through the day after the trip ends, and for at least 30 days.
When the email does not arrive
School email often lands in quarantine. After sending, the screen offers the link so you can text or message it yourself. Also tell people to simply sign in with the invited address: the invitation waits at the top of their Trips page, where they can accept or decline it.
Pending invites
Every unaccepted invite is listed under Pending invites. Copy link gives you a fresh link to share. Earlier links for that invite keep working until it is accepted. Revoke cancels the invite.
Someone signed in with a different address
If a person opens a staff invite while signed in with a different email than the one you invited, they are not added. They appear under Waiting for your approval on Staff & permissions, showing both addresses. Approve only if you recognise them. Only the trip owner can approve a co-organizer.
What chaperones can see
Everyone on the trip staff sees the travelers' details, including emergency contacts and health information. To keep a chaperone to one group, use Restrict to group on the Groups page. See Who can see what.
Remove someone
On Staff & permissions, open the person's row and choose Remove from trip. They lose access to the roster, chat and every traveler's details immediately. Their chat messages stay. You cannot remove yourself, and a co-organizer cannot remove the owner.
The demo trip does not send invites. Create your own trip to invite real people.
