Create a trip
- Website: on your trips page, click New trip.
- Phone: on the Trips tab, tap New, then New trip.
Enter a trip name, a destination (optional), the departure and return dates, and your school or organization. You can search the US school list or type an organization name. For a season of day trips with the same group, turn on This trip has several travel days on the website (Several travel days on the phone) — see Multi-date and overnight trips.
Anyone can create a trip, and there is no limit on how many you run. Every new trip starts as a Draft.
Day trips, overnight trips and Pro
A trip that comes home the same day is free to publish, at any roster size. A trip that stays away overnight, or a trip with several travel days, needs Pro to publish. You can still build the whole thing for free first. Hotels and rooms are part of Pro. See Plans and pricing.
Edit the details
Open the trip, then Trip settings. On the website it is at the bottom of the trip's left-hand menu; on the phone, tap More and find it in Trip tools. Here you change the name, destination, dates, cover image, time zone, status, chat rules and custom roster fields. Only the owner and co-organizers can open it.
Trip status
- Draft: you are still setting up. Families cannot see the trip.
- Active: the trip is published and visible to everyone on it.
- Completed: the trip is over. Everything stays readable.
- Cancelled: the trip was called off. It stays readable.
To publish, set the status to Active and save. About two weeks after the return date, an active trip is marked Completed automatically.
Hand the trip to someone else
Each trip has exactly one owner. To pass it on, open Trip settings in the phone app and use Transfer ownership. You can only transfer to a co-organizer, so invite one first. You stay on the trip as a co-organizer.
Archive a trip
When a trip is over, the owner can archive it to tidy up the trips list. Only a trip that is Completed or Cancelled can be archived. In Trip settings, scroll to Danger zone and choose Archive trip, then confirm.
Archiving moves the trip into an Archived trips section at the bottom of the trips list for everyone on it, not just for you. Nothing is deleted, and everyone can still open the trip and everything in it. To bring it back, open the trip and choose Unarchive, or use Unarchive trip in Trip settings. You can unarchive at any time.
Archiving does not change when the trip's files are cleaned up. On a finished trip, the uploaded documents and the cover image are removed 90 days after the trip on the Free plan and 365 days after the trip on Pro, whether or not the trip is archived. The roster, attendance, chat and photo album are not affected.
Delete a trip
The owner can delete a trip in any status. A co-organizer can delete a trip only while it is a Draft or Cancelled. In Trip settings, scroll to Danger zone and choose Delete trip. On the website you type the trip's name to confirm, then click Delete forever.
Deleting permanently removes the trip, including its roster, schedule, attendance, photos, documents and cover image. There is no undo. If you only want the trip out of the way, archive it instead. Documents a family added to their own child's page stay with the family.
A trip can't be deleted while it is happening, or if it has payments or a Trip Pass on record. Archive it instead, or contact support if it needs to be deleted.
For safety and legal requests, the trip's chat messages and announcements are kept in a locked safety archive for two years and then deleted. Nobody can open them in the app. Deleting a trip never deletes anyone's account. Our Privacy Policy explains what is kept and why.
